Privacy Policy- - Healing Therapies for Children, Adolescents and Families

About this policy

This policy explains how I collect, use and protect your personal information, whether you come to me for therapy, get in touch through my website, or sign up for my free resources.

I'm Natilie Cocker, trading as Healing Therapies. I'm responsible for your information, which in data protection law makes me the "controller".

  • Email: hello@natilie.co.uk

  • Website: www.natilie.co.uk

  • ICO registration number: ZB892761

I follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. If you have any questions about this policy, please get in touch.

Heartwhisper, my storytelling app, has its own privacy policy, which you'll find on the app.

If you or your child come to me for therapy

  • Names, address, date of birth and contact details (phone and email)

  • Emergency contact details (optional)

  • Information about your child's or your own wellbeing, health, development and family circumstances, shared during consultations and sessions

  • Session notes that help me support you, kept to what's relevant to the work

If you contact me through my website

  • Your name, email address and anything you choose to write in your message

If you sign up for my free guide

  • Your first name and email address

  • Whether you ticked "Sign up for news and updates"

When you visit my website

  • Basic technical information, such as pages visited and the type of device used, collected through cookies (see Cookies below)

Why I use your information

The law asks me to name a "lawful basis" for each way I use your information. Here they are in plain terms.

  • Providing therapy, arranging appointments and keeping session notes: contract (our agreement to work together)

  • Contacting your emergency contact if needed: vital interests, or your consent

  • Replying to messages sent through my website: legitimate interests (answering your enquiry)

  • Sending you the free guide you asked for: legitimate interests (sending what you requested)

  • Sending you occasional emails with resources and news: consent (only if you ticked the box)

  • Keeping records I'm required to keep, and meeting safeguarding duties: legal obligation

  • Understanding how my website is used: consent, through the cookie banner

I won't use your information for anything else without telling you first.

Health information, children and confidentiality

Information about health and wellbeing is "special category" data, which the law protects more carefully. I only use it to provide therapy and care, with your explicit consent, which I ask for before we begin working together.

Children's information

When I work with a child, I agree with the parent or carer how information will be shared. As children grow older and understand more, I involve them in decisions about their own information, and I respect their views wherever it's safe and appropriate to do so.

Confidentiality

What you share in sessions stays confidential. I will only share it:

  • with your permission, for example with your child's school or GP

  • if I believe a child or someone else is at risk of serious harm, in line with safeguarding procedures

  • if the law requires me to

Wherever possible, I'll talk to you first before sharing anything.

I discuss my work in clinical supervision, which is standard good practice for therapists. When I do, I don't use names or details that would identify you or your child.

Emails and the free guide

When you sign up for my free guide, I'll email it to you. That's the only email you'll get unless you also tick "Sign up for news and updates".

If you do tick it, I'll send you occasional emails with free resources and news about my work, such as my book and Heartwhisper. I'll never sell or share your email address.

You can unsubscribe at any time using the link at the bottom of every email, or by emailing hello@natilie.co.uk.

If you contact me through my website, I'll only use your details to reply. I won't add you to my mailing list unless you choose to join it.

Who helps me handle your information

I don't sell, rent or trade your information. I use a small number of trusted services to run my practice, and they only handle your information on my instructions:

  • Squarespace: hosts my website, contact form, sign-up form and email newsletters

  • My email provider: for messages sent to hello@natilie.co.uk

  • Bacpac: secure practice management software where I keep client records and session notes.

Some of these services, including Squarespace, are based in the United States, so your information may be stored or processed outside the UK. Where this happens, it's protected by safeguards recognised under UK data protection law.

How long I keep your information, and how I keep it safe

I keep information only for as long as I need it, then delete or securely destroy it.

  • Therapy records for children: until their 25th birthday, or 7 years after the last session if that's later

  • Therapy records for adults: 7 years after our last session

  • Website enquiries that don't lead to therapy: 12 months

  • Free guide sign-ups who didn't join my mailing list: 12 months

  • Mailing list: until you unsubscribe

until their 25th birthday, or 7 years after the last session if that’s later

Security

I take the security of your information seriously. Digital records are password-protected, and paper records are kept locked away. Only I have access to your information. Session notes are kept to what's relevant to our work.

Your rights

You have the right to:

  • ask for a copy of the information I hold about you

  • ask me to correct anything that's wrong or incomplete

  • ask me to delete your information, where I don't need to keep it

  • ask me to limit how I use your information

  • object to how I use your information

  • withdraw your consent at any time, for example by unsubscribing from emails

  • ask for your information in a format you can take elsewhere

To make a request, email hello@natilie.co.uk. It's free, and I'll respond within one month. Some rights have limits, for example where I have to keep records for legal or safeguarding reasons, and I'll explain if that applies.

Cookies

My website uses cookies, small files stored on your device. Some are needed for the site to work. Others, such as those that help me understand how the site is used, are only set if you agree through the cookie banner. You can change your choice at any time.

Complaints

If you're unhappy with how I've handled your information, please talk to me first, and I'll do my best to put it right.

If you're still not satisfied, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this policy

I may update this policy from time to time. The latest version will always be on my website.
